Position Overview

We’re looking for a Part-Time Legal Intake Specialist who will assist our Legal Intake Coordinator. Assisting in prospective clients, primarily veterans and their families. This role is critical in ensuring smooth intake, onboarding, and ongoing client support.

Key Responsibilities

Prospective Client Intake & Onboarding, Administrative Processing Duties:

  • Answer and manage incoming calls with professionalism and care, demonstrating sensitivity and respect when working with veterans and active military members across all branches of service.

  • Send intake forms, conduct follow-up calls, and relay information regarding retainer offers, consultations, and referrals in a timely manner.

  • Review initial inquiries, assess basic eligibility, and enter prospective clients into Clio Grow accurately and promptly.

  • Maintain up-to-date records in Clio Grow, including notes, documents, and status updates throughout the intake process.

  • Convert prospective clients to Clio Manage upon retention; draft and send retainer agreements and track executed agreements and initial payments.

  • Maintain and update case review spreadsheets, referral tracking, and client review logs.

  • Process incoming and outgoing mail, including scanning and organizing large volumes of documents for digital filing.

  • Maintain strict confidentiality of all client information, case details, and firm communications in accordance with legal and ethical standards.

What We’re Looking For:

  • Strong organizational skills with ability to manage multiple priorities in a fast-paced environment.

  • Excellent written, verbal communication skills, professional and approachable phone presence.

  • Familiarity with Clio Grow/Manage, or other legal CRM/case management platforms, is preferred.

  • Familiarity with military language, structure, processes, and basic acronyms.

  • Experience in legal work, client relations, or administrative support is a plus.

  • Collaborative team player, and supports a positive, productive work environment.

  • Veterans, military spouses, and individuals who are passionate about serving those who have served are strongly encouraged to apply.

  • Experience with Outlook, Google Drive, ZOOM, Clio Grow/Manage or other legal CRM

Benefits:

  • Approximately 10 hours per week
  • Competitive hourly rate: $20–$25/hour (commensurate with experience)

  • Type: W2, Part-Time | Remote
  • Location: Must be based within the US, except California, Washington, Hawaii and Alaska
  • Reporting To: Intake Coordinator, Office Manager
  • Availability Required: Monday–Friday, 9:00 AM – 3:30 PM EST, schedule would be flexible based on the needs of the firm
